Installation
Timeline
Installation of a new system generally requires 90 120 days from
your decision date to the beginning of your first month of live processing.
This allows for adequate time to complete any necessary hardware upgrades,
schedule training, and install the software.
Installation
Worksheets
The installation worksheets must be completed and sent to IRS-AIMS.
Information provided on these worksheets allows us to generate ready-to-use
software for your agency.
Data
Conversion
IRS-AIMS can assist with conversion of data in many existing agency
management systems. Please contact us for details regarding possible
data conversion, costs, and procedures.
Training
IRS-AIMS provides two (2) days of training in our Universal City classroom
for up to three people. Training is scheduled to coincide with your
installation date. MARS training does not include basic Windows use.
All agency personnel must already be familiar with Windows 95 navigation.
Training for additional personnel is available at a cost of $250 per
person for the two day class. On site training is available on a limited
basis. Contact IRS-AIMS for a current schedule of on site training fees
and availability.
MARS
Pricing
Mars pricing for both the initial license fee and annual fees is based
on the actual number of workstations on which you install the software.
We require a 50% down payment when you submit your installation worksheets.
Final payment is due at installation.
Hardware
Requirements
Please review the hardware information with your provider. Allow plenty
of time for ordering and installation of any necessary upgrades. All
hardware must be in place 45 days prior to your MARS installation date.
System
Startup
Though a large amount of information (provided on the installation worksheets)
is in your system at startup, you must allow time to complete the setup
of agency specific information, defaults, and preferences. You will
be provided a "Getting Started Guide" at the completion of
training with instructions on how to take your system live.
AIMS
System Upgrade/Conversions
IRS-AIMS recognizes the importance
of providing a smooth transition from your current AIMS system to the
new MARS system. The following outline summarizes the steps required
for a smooth conversion.

All conversions are done at our location using data from your last EOM
close. Post EOM data must be sent to IRS-AIMS on media which we can
easily load. Remember, as you are working on your hardware upgrades,
your tape backup system should be compatible with IRS-AIMS.

AIMS
Data Clean Up
IRS-AIMS provides conversion of nearly all your existing AIMS data.
Prior to conversion your system must be "cleaned up" as much
as possible. Accounting records should be in order with all subsidiary
balances matching general ledger balances, dead policies and inactive
clients purged, suspense items current, etc. You will be provided with
a complete check list for this process prior to your actual conversion.
Start your clean up efforts early to allow adequate time for processing.
